Notary Public FAQ

A remote online notary is a notary public who is authorized to perform notarial acts remotely, using video conferencing technology to witness and certify the signing of documents.

Most types of documents can be notarized remotely, including wills, trusts, powers of attorney, deeds, and contracts.

  • Complete all blanks except for signatures, initials, dates prior to uploading the documents. If a blank does not apply please type “N/A” on those blanks.
  • Have the final version of the document(s) ready at least 24 hours prior to the start of the session to allow time for notary to properly setup RON session.
  • Try not to combine documents into one file.
  • Allowed file types: pdf, .doc, .docx, .odt, .rtf, .xls, .xlsx., .ods
  • Do not try to upload password protected or locked files, the system will not be able to decipher them.
  • We support various file sizes but the 50MB file limit per document is the default.
  • For session with multiple documents, split them into 10 document packages per session, this will allow more flexibility in tagging and signing.
  • Notarized Documents available for 7 consecutive days from date of signing.

You will need the document(s) that require notarization, a device that has audio and video capabilities, a valid government-issued photo ID (check the list of acceptable forms of identification), and a U.S. social security number to ensure secure identity verification. You can find the minimum system requirements for online notarization on our website.

You can join the session using a laptop, tablet, or mobile device. However, it’s important to ensure that your device has a stable internet connection, a working camera, and a microphone.

During the remote notary session, you should position your device’s camera so that it captures your full face, including your eyes, nose, and mouth. Failure to show your entire face during the session may result in the notary public being unable to verify your identity, which could prevent the notarization from taking place.

  • Computer: Desktop or laptop computer with a webcam and microphone are preferable, signers can join from a smart phone or tablet but will experience the platform differently.
  • Browser: Chrome, Firefox, and Safari (on iOS) are supported but stick to your favorite browser and familiarize yourself with how to allow access to webcam, microphone, and screen sharing (excluding mobile devices).
  • WiFi- Consistent, reliable, and fast enough to allow video streaming (Broadband preferred)
  • Smart phone capable of sending/receiving SMS texts and emails. Smart phone cable of photographing an ID and uploading it to the portal through a browser

Absolutely! Online notarization is a valid method of notarizing documents. A document that is notarized online holds the same legal weight as one that is notarized using traditional paper-based methods.

Yes, online notarizations are valid and enforceable. They have the same legal validity as traditional, paper-based notarizations. The validity of online notarizations is determined by the laws of the notary’s commissioning state, and every state recognizes notarizations that are properly performed by notaries of other states. However, some states and public agencies may have specific additional requirements, limitations, and conditions for accepting electronically-signed documents, so it is important to check with the intended recipient of the document to confirm its acceptance.

An apostille agent is a professional who is authorized to obtain an apostille for a document that is intended to be used in a foreign country. An apostille is a certificate issued by the government that certifies the authenticity of a document and the signature of the official who signed it.

If you need to use a document in a foreign country, you may be required to obtain an apostille to ensure that it will be recognized as valid. An apostille agent can help you obtain the apostille and ensure that the document is properly authenticated for use in the foreign country.

A Notary Signing Agent (NSA) is a specialized type of notary public who is authorized to oversee the signing of important financial or legal documents, such as real estate transactions or loan agreements. NSAs have additional training and certification beyond that of a traditional notary public to ensure that they are knowledgeable about the specific documents they are notarizing.

If you are involved in a real estate or loan transaction, you may need a Notary Signing Agent to ensure that the documents are properly executed and notarized. The NSA will be present during the signing of the documents to verify the identity of the signers and ensure that they are signing the documents willingly and with full understanding of their contents. The NSA will also affix their notary seal to the documents to certify their authenticity.

“General notary services” typically include the notarization of legal documents like affidavits, powers of attorney, wills, and trusts. “Signing agent services” are commonly related to real estate transactions and may involve loan documents, mortgage papers, and deeds of trust. “Apostille agent services” usually deal with obtaining an apostille for a document that is meant to be used in a foreign country, such as a birth certificate, diploma, or adoption paperwork.

Other examples of documents that may require notarization or apostille services include marriage certificates, divorce decrees, adoption papers, business contracts, and financial affidavits. The specific documents that require notarization or apostille services can vary depending on the jurisdiction and the purpose for which the documents will be used. It is recommended to consult with a professional notary or apostille agent to determine the specific requirements for your documents.

If you require a jurat, it must be witnessed by the notary, while an acknowledgement can be signed before meeting with the notary. It is recommended that you avoid signing the document in advance.

Although it is recommended that you avoid signing the document in advance, completing your document prior to the meeting with the notary can help expedite the process.
